Refund and Cancellation Policy

This Refund and Cancellation Policy (“Policy”) explains the terms under which you may cancel your subscription to Ninebloom's services and the circumstances under which you may be eligible for a refund. This Policy forms part of, and is incorporated into, the Ninebloom Terms of Service. Capitalised terms used but not defined here have the meanings given in the Terms of Service.

Ninebloom is a sole proprietorship owned and operated by Veera Sankara Reddy Vare, Udyam-registered MSME, providing RegTech, DPDP compliance, and data governance tools to industries, educational institutes, and startups.

1. Subscription Plans and Billing

Ninebloom offers subscription plans on a monthly or annual billing cycle. Fees, features, and billing frequency for each plan are published on our website at ninebloom.co. All fees are billed in advance and are exclusive of applicable taxes, including GST, which you are responsible for paying.

Payment is processed through Zoho Payments and Zoho Billing. We do not store full card numbers on our servers.

All subscriptions are paid from day one. We do not offer free trials.

2. Cancellation

2.1 Cancelling your subscription

You may cancel your subscription at any time through your account settings or by contacting terms@ninebloom.co (for contract matters) or ceo@ninebloom.co (for billing).

2.2 Immediate access cutoff

When you cancel, your access to the platform and services is cut off immediately. You will not be able to log in, use the compliance tools, or access your dashboard after cancellation takes effect. This is different from retaining access until the end of a billing cycle — at Ninebloom, cancellation means access stops right away.

2.3 What happens to your data after cancellation

Although your platform access is cut off immediately, you still have the right to retrieve your data through the data-exit process described in Section 3 below.

2.4 No further charges

Once you cancel, no further charges are made to your account. If you cancel before your billing cycle ends, the remaining unused days are handled under the refund policy in Section 4.

3. Data Exit Process

When your subscription ends — whether by cancellation, refund, or expiry — the following data-exit process applies:

3.1 Export window (30 days)

For 30 days after the cancellation date, you can export all of your data — Client Data, configuration, and compliance records — in JSON or CSV format. Since your platform access is cut off immediately upon cancellation, exports are handled through our support team. Contact ceo@ninebloom.co to request an export, and we will prepare and deliver your data within 5 business days.

3.2 Server shutdown

At the close of the 30-day export window, we shut down your tenant environment and decommission any dedicated servers or databases provisioned exclusively for you.

3.3 Deletion

We delete all Client Data from our active systems within 30 days of the export window closing, and purge it from our backups within 90 days, subject to any legal hold. We issue a written deletion confirmation to you once complete.

3.4 No reuse

Deleted Client Data is never reused, mined, or retained in any form that could identify your end-users.

4. Refund Policy

4.1 Refund window — within 7 days of renewal

You are eligible to request a refund if you submit your request within 7 days of your renewal date. This applies to both monthly and annual subscription plans.

Renewal date (“R”): the date your subscription was renewed (either the start of a new monthly cycle or the start of a new annual cycle).
Refund window: R + 7 days. Requests received after R + 7 days are not eligible for a refund.

4.2 Refund calculation

If your refund request is received within the 7-day window, your refund is calculated as follows:

Refund amount = Total fee paid − (Daily rate × Number of days used since renewal)
Where:
  • Total fee paid is the subscription fee charged for the current billing cycle.
  • Daily rate = Total fee paid ÷ number of days in the billing cycle (30 for monthly, 365 for annual).
  • Number of days used is counted from the renewal date up to the date your cancellation and refund request is received.
Example — monthly plan

If your monthly fee is Rs. 5,000 and you request a refund on day 4 of your cycle:

Daily rate = 5,000 ÷ 30 = Rs. 166.67
Usage deduction = 166.67 × 4 = Rs. 666.67
Refund amount = 5,000 − 666.67 = Rs. 4,333.33
Example — annual plan

If your annual fee is Rs. 50,000 and you request a refund on day 5 of your cycle:

Daily rate = 50,000 ÷ 365 = Rs. 136.99
Usage deduction = 136.99 × 5 = Rs. 684.93
Refund amount = 50,000 − 684.93 = Rs. 49,315.07

4.3 Refund processing time

Approved refunds are processed back to the original payment method within 7–10 business days. The exact time depends on your bank or payment provider and may take longer to reflect in your account.

4.4 How to request a refund

To request a refund:

  1. Email ceo@ninebloom.co with the subject line “Refund Request”.
  2. Include your account email, organisation name, subscription plan, and renewal date.
  3. We will acknowledge your request within 48 hours and confirm eligibility.
  4. If eligible, we process the refund within 7–10 business days.

4.5 Circumstances where no refund is available

No refund will be provided in the following situations:

  • Your refund request is received more than 7 days after your renewal date.
  • Your account is suspended or terminated due to your breach of the Terms of Service.
  • You fail to use the services during a paid billing cycle, regardless of usage level.
  • You request a refund after the data-exit window (30 days post-cancellation) has closed.
  • Your account was already cancelled and the refund window has passed.

4.6 Other refund scenarios

5. Plan Changes (Upgrades and Downgrades)

5.1 When changes take effect

Both upgrades and downgrades take effect at the start of your next billing cycle, not immediately. You remain on your current plan with its current features and limits until the next cycle begins.

5.2 Upgrades

  • You request an upgrade through your account settings or by contacting ceo@ninebloom.co.
  • The upgrade takes effect at the start of your next billing cycle.
  • Your next invoice reflects the new (higher) plan fee.
  • No prorated charge is applied mid-cycle — you simply pay the new rate when the next cycle starts.

5.3 Downgrades

  • You request a downgrade through your account settings or by contacting ceo@ninebloom.co.
  • The downgrade takes effect at the start of your next billing cycle.
  • You retain all features of your current (higher) plan until the cycle ends.
  • Your next invoice reflects the new (lower) plan fee.
  • No refund is issued for the current cycle — you paid for the higher plan and retain its features until cycle end.

5.4 Annual to monthly

If you switch from an annual plan to a monthly plan, the switch takes effect at the end of your current annual cycle. No refund is issued for the unused portion of the annual plan.

6. Price Changes

We may change our subscription fees upon at least 30 days' notice. Any fee change takes effect at the start of your next billing cycle following the notice. If you do not agree to the new fees, you may cancel your subscription before the renewal date and no charges at the new rate will apply. If you cancel within 7 days of a renewal at the new price, the refund policy in Section 4 applies.

8. Changes to This Policy

We may update this Policy from time to time. Material changes will be notified by email and posted on our website at least 15 days before taking effect. The “Effective” date at the top of this document always reflects the current version.

This Refund and Cancellation Policy should be reviewed by qualified legal counsel before formal adoption and publication to ensure alignment with applicable Indian law and any final DPDP Rules notified by the Government of India.
